This reference explains the roles in your workspace and, for each one, what they can view and change across the product. Use it to answer questions like “why can’t I see the Invoices page?” or “which roles can change a lead’s status?”.

How permissions work

Permissions are additive

A user starts with no access and gains it from the role (or roles) assigned to them. If someone holds more than one role, they get the combined access of all of them — never less than any single role would grant on its own.

The roles

These are the roles you can assign to people in your workspace:
  • Admin
  • Ops Manager
  • Sales Admin
  • Sales Member
  • Client Coordinator
  • Crew Leader
  • Crew Member

”Branch Management” is a group, not a role you assign

“Branch Management” is a shorthand for a set of roles, not a role you pick from a list. It refers to Admin, Ops Manager, Sales Admin, and Client Coordinator together. Membership in this group controls whether you see everyone’s data in your branch versus only your own. A Branch Management role sees all of the branch’s leads, clients, schedule, and metrics; other roles see only what is theirs or assigned to them.

Two things every signed-in person can do

Regardless of role, every member of the workspace can:
  • Manage their own personal preferences.
  • Read customer reviews.

Reading the matrix

Across this page:
  • View / read means you can see records that are yours or in your branch scope.
  • See all means you see every record across the branch (the manager-style view), not just your own.
  • Manage means full control: create, view, edit, and delete.
  • A blank or “no access” means the role can’t see or touch that area at all.
A role granting a page is necessary but not always sufficient — some pages are also gated by a workspace feature being turned on. If a feature is switched off, that page and its actions disappear even for a role that would otherwise have them.

Page access by role

Whether a role can open a given page in the app:
The Settings area and the Integrations page are available to Admin only. The Invoices and Payments pages are Admin only as well, and are also gated by the invoicing feature being turned on.
Dashboard and Automations are Meni pages. Dashboard needs the Meni assistant turned on for your workspace, and Automations needs Meni automations turned on — see Feature availability. * Sales Admin and Sales Member get Dashboard only when the sales overview is turned on for your workspace. Client Coordinators don’t have either page.
The Communications inbox and the Call Center page are open to every role except Crew Member, and both are gated by the messaging feature being turned on. Everyone with access can read and send texts and place calls, but turning on texting and changing phone settings under Settings → Communications are Admin only.

Estimate breakdown visibility

What pricing detail you can see inside the Calculator depends on your role:
  • Cost breakdown (underlying cost numbers): Admin only.
  • Operational breakdown: Admin, Ops Manager, Crew Leader.
  • Retail pricing: Admin, Ops Manager, Sales Admin, Sales Member, Client Coordinator.

Resource permissions

Leads

  • A Sales Member can’t create, edit, or delete leads, but can view their own leads read-only — leads assigned to them (as the salesperson or client coordinator) or that they created. They don’t get the Leads page itself; those leads surface when they pick a lead while scheduling a lead activity, or when they ask the assistant about a lead.
  • A Sales Member can only work on lead activities assigned to themselves — if they try to edit or delete someone else’s activity, they’re told “You can only update lead activities assigned to yourself.”
  • Branch Management roles see all lead activity in the branch; a Sales Member sees only their own.

Clients

  • Deleting a client is limited to Admin, Ops Manager, and Sales Admin. Sales Member, Client Coordinator, and Crew Leader can view and edit clients but can’t delete them.
  • Deleting a client shows the warning “Are you sure you want to delete this client? This action cannot be undone.”

Estimates and proposals

  • Ops Manager can manage estimates but can’t move an estimate’s status to Released, Sold, Lost, Secondary Estimate, or Deleted.
  • Sales Member and Client Coordinator can change an estimate’s status only within an allowed set (In Progress, Released, Sold, Lost, Secondary Estimate, Deleted).
  • Deleting an estimate is limited to Admin, Ops Manager, and Sales Admin.
  • A signed estimate can’t be deleted by anyone, regardless of role — you’ll see “This estimate was signed and cannot be deleted.”
  • A read-only estimate can’t be saved from the Calculator: “This estimate is read-only and cannot be saved.”
  • Editing crew-facing notes on an estimate is available to Ops Manager, Sales Member, Client Coordinator, and Crew Leader (and Admin).

Jobs and schedule

  • A Crew Member can view job details (for example, from a shift or schedule item) but can’t open the Jobs page itself.
  • Updating a job’s status is available to Admin, Ops Manager, Sales Admin, Sales Member, and Client Coordinator — not Crew Leader or Crew Member.
  • Assigning a job to someone is available to Admin, Ops Manager, Sales Admin, and Crew Leader.
  • Schedule scope: managers see everyone’s schedule; other roles see only the items assigned to them. Sales Member sees only their own schedule items.
  • Assigning schedule items to other people is limited to roles that can manage the schedule. A Sales Member who tries to act on items that aren’t theirs sees “You can only publish tasks assigned to yourself” or “You can only delete tasks assigned to yourself.”
  • Saving and managing schedule filters is Admin only.
  • Deleting a completed form is available to Admin, Ops Manager, and Sales Admin.

Billing and expenses

  • Invoices, payments, and credit notes are Admin only. They also depend on the invoicing feature being turned on.
  • Project expenses can be managed by every role except Crew Member.
  • Deleting an expense warns that the expense “will be permanently deleted. This action cannot be undone.”

Sales metrics, bonuses, and performance

  • On the leaderboard, Admin, Ops Manager, and Sales Admin see every branch member’s numbers. A Sales Member sees only their own.

Comments

Every staff role can add and read comments on a project and attach media to them. Anyone can edit or delete their own comments, but not someone else’s.

Settings

The entire Settings area is controlled by a single permission, and only Admin has it among the assignable roles. Every settings change — branches, users, employees, vehicles, equipment, the price book, payment terms, financing terms, tags, lead sources, and so on — requires Admin access. Other roles can read certain settings entities so the rest of the app works (for example, the price book and payment terms feed the Calculator and proposals), but they can’t change them. In particular:
  • User administration (adding or editing people) is Admin only. Other roles can see the list of users to fill in dropdowns, but can’t create or edit them.
  • Managing groups is Admin only.
  • Branches, vehicles, equipment, employees, and subcontractors can be changed by Admin only. Other roles can read them where the rest of the app needs them (for example, to fill in pickers), but can’t create, edit, or delete them.
If the workspace settings feature is turned off, all settings changes are closed at once.

Quick reference

  • Settings, Integrations, Invoices, user administration, groups: Admin only.
  • Branch Management (see all branch data, not just your own) = Admin, Ops Manager, Sales Admin, Client Coordinator.
  • Sales Member can view leads assigned to them read-only (no create, edit, or delete), works only their own lead activities, and sees only their own schedule.
  • Ops Manager can manage estimates but can’t move an estimate to Released, Sold, Lost, Secondary Estimate, or Deleted.
  • A signed estimate can’t be deleted by anyone.
  • Cost breakdown in the Calculator is Admin only.
