How a lead moves through your pipeline
Most leads follow the same path. You won’t always do every step in order, but this is the shape of the journey.1
Create the lead
Capture the primary contact, the property address, and a few details to start working it right away. A last name and a phone number is enough to save one.See Create a lead.
2
Qualify it
Get the lead ready for the team: assign a branch, a client coordinator, a status, and any tags so the right people pick it up and it’s easy to find later.See Qualify a lead.
3
Schedule a site visit
Book a lead activity on the calendar — the date, the time, and who’s going — so someone can visit the property and move the lead forward.See Schedule a site visit.
4
Turn it into a client
Once the visit is confirmed and the lead looks solid, convert it into a client and project so the work moves out of your pipeline and into delivery.See Turn a lead into a client.
Keeping a lead up to date
As you work a lead, a few things tend to change. These guides cover the details.Edit a lead and add contacts
Update contact and property details, and add secondary contacts like a spouse, tenant, or property manager.
Set the source, confidence, and referral
Record where a lead came from, how strong it looks, and who referred it — including a salesperson when the source asks for one.
Finding your way around
When your pipeline fills up, you’ll want to search, narrow it down, and see where everything is.Browse, filter, and map your leads
Search your pipeline, narrow it with filters, and switch to the map view to see where your leads are on a map.
A few things worth knowing
Your organization defines its own set of lead statuses, so the exact options you see when moving a lead along the pipeline are the ones your team set up.
- A branch comes before a site visit. A lead needs a branch assigned before you can schedule a site visit for it. Once a visit is on the calendar, the branch locks so it can’t be changed by accident.
- Tags do double duty. Tags you add to a lead also become filters on the Leads list, so you can tag a batch and work them as a group.
- You can start small. You don’t need every field to save a lead. Capture what you have, then fill in the rest as you learn more.
