The statuses
- In Progress — you’re still building or editing it. This is the only status where the estimate’s items and pricing can be changed.
- Sold — the customer said yes. This is how your team tracks which estimates turned into real, won work.
- Released — handed off (for example, to be scheduled or fulfilled).
- Lost — the customer didn’t move forward.
- Secondary Estimate — an alternate option for the same job that isn’t the primary quote.
Change the status

Find the estimate
Open the Estimates list and locate the row you want. (On a phone, use the estimate’s card.)

Open the status menu
Click the status badge in the Status column. A menu of available statuses opens.

Pick the new status
Choose the status you want. The change saves right away and the badge updates.
Which statuses you can choose depends on your role. If an option isn’t available to you, it won’t appear as a choice.
Marking an estimate Sold
When the customer accepts, set the estimate to Sold. Once it’s sold, a Sold Date appears on the row. If you ever need to correct when the deal actually closed, you can adjust that date right on the sold estimate.If the estimate’s proposal hasn’t been signed by the customer, marking it Sold asks you to confirm first — a Mark as Sold without a signature? dialog appears, since Sold sits right next to Lost in the status menu and it’s easy to click by accident. Selling without a signature is still allowed (for example, the customer accepted another way, like a signed paper contract) — just click Mark as Sold to confirm. If the proposal is already signed, it’s marked Sold right away with no prompt.
A project can have several estimates, but only one of them can be Sold — the winner. Once one estimate in a project is marked Sold, the Sold option is greyed out for the project’s other estimates, and their proposals can no longer be sent. To sell a different one, move the current sold estimate to another status first.
Moving a Sold estimate back
Moving an estimate out of Sold is a bigger deal, so it’s more controlled — typically it requires manager-level permission. If you don’t have it, the option won’t be available.Editing again after a status change
Only In Progress estimates can have their items and pricing edited. If you need to change the work on an estimate that’s already Sold or in another status, switch it back to In Progress first.If the estimate’s proposal has already been signed by the customer, moving it back to In Progress reopens it for a change order. Before the signature is cleared, a Start a change order? dialog asks you to fill in Change order notes describing what’s changing — they’re required and visible to your client. Once you click Start change order, the signature is removed and the estimate becomes editable again. The signed proposal isn’t lost: it’s preserved as a read-only earlier version you can still refer back to. Reopening also resets the proposal’s earlier sent, opened, and expiry state, so the next time you send it the customer starts fresh.
