Notification preferences decide how your team hears about things. For each branch, you choose which notifications go out by email, SMS, in-app, and push (the Menaia mobile app). You also set up shift reminders — the texts that nudge crew members to take a break, end a break, or clock out.
Notifications is part of Settings, which only Admins can open. These settings live under Settings → Notifications, on the Notifications and Shift Reminders tabs. The Rules tab, which decides who gets notified, is covered in Notification rules.

Open notification settings

Go to Settings

Open Settings from the main navigation.

Choose Notifications

Under System Configuration, select Notifications. The page opens on the Notifications tab.

Pick a branch

Both the Notifications and Shift Reminders tabs are set per branch. If your workspace has more than one branch, use the branch selector in the top-right to choose the one you’re editing. Your choice carries over when you switch between these tabs.
If your workspace has no branches yet, you’ll see No branches available. Create a branch first — see Branch configuration.

Notifications tab

Notification Channels

The Notification Channels card has one switch per channel:
  • Email notifications — send notifications by email.
  • SMS notifications — send notifications by text message.
  • In-app — send notifications inside Menaia.
  • Push notifications — send notifications to the Menaia mobile app. Someone only receives these if they’ve installed the mobile app, signed in, and allowed notifications on their device.
Each switch is a shortcut for the grid below it. Turning one off unticks that channel for every notification in the grid. Turning it on ticks it for every notification that can use that channel. A switch shows as on while at least one notification still uses the channel.

Notification Preferences

The Notification Preferences grid lists every notification, grouped by area, with a column for Email, SMS, In-App, and Push. Tick or untick a box to turn that channel on or off for that notification. Not every notification can be sent every way. A box that’s greyed out means that notification isn’t available on that channel. The groups you may see are:
  • Leads — New Lead.
  • Proposals — Proposal client opened, Proposal requested changes, Proposal client rejected, and Proposal client signed.
  • Calendar — Task Published, Lead Activity Published, Shift Published, Shift Published for Your Client, Time Off Saved, Time Off Published, Event Cancelled, Event Updated, Event Not Published (48 Hour Warning), and the three shift reminders: Break Reminder, Break End Reminder, and Forgot To Clock Out.
  • Jobs — New Job Assigned, Job Closed, Job Plan Changes Required, Job Plan Submitted For Review, and Job Plan Missing (2HR Reminder).
  • Comments — Feed post mention and Feed post reply. These also cover mentions and replies in project comments.
  • My Wallet — Wallet Change (Daily Update).
  • Badges — Badge Earned.
  • Integrations — QuickBooks Sync Error and QuickBooks Sync Warning. This group only appears if QuickBooks is turned on for your workspace.
  • Meni — Meni daily insight. See Meni daily insight.
Each row includes a short description of when the notification is sent.

Save your changes

Changes aren’t applied until you click Save Changes at the bottom of the tab. Cancel throws away anything you haven’t saved. Both buttons stay inactive until you change something.
Until you save this tab for a branch, every channel a notification supports is on. Start by turning off what your team doesn’t need, instead of turning things on.

How branch settings apply

  • Notifications about a record — a lead, proposal, calendar event, or job — follow the settings of the branch that record belongs to.
  • Personal notifications — mentions and replies, wallet updates, shift reminders, QuickBooks sync alerts, and Meni daily insights — follow the settings of the person’s own branch. If someone belongs to more than one branch, a channel that’s on in any of their branches stays on for them.

Shift Reminders tab

The Shift Reminders tab sets up the reminders crew members get while they’re on the clock. Each reminder goes to the person on the shift, by text message.

Turn on a reminder

Tick the box next to the reminder. Its threshold field appears below it.

Set the threshold

Enter the number of minutes as a whole number of 0 or more.

Save

Click Save Changes. You’ll see Shift reminders updated.
A pending reminder is canceled if the person acts first. For example, starting a break cancels a pending break reminder, and clocking out cancels a pending forgot-clock-out reminder.
All three reminders start turned off for each branch. Forgot Clock Out only works for shifts that have a scheduled end time. Reminders also follow the SMS boxes for Break Reminder, Break End Reminder, and Forgot To Clock Out in the Calendar group on the Notifications tab. If you untick those, the texts won’t go out.
