Integrations are an admin area. You’ll need an Admin role to open the Integrations page and connect an app. If you don’t see Integrations in the main navigation, you don’t currently have access.
Open the marketplace

Go to Integrations
Choose Integrations from the main navigation. This opens the marketplace — a grid of every app that’s available to your workspace.

Find the app you want
Use the Search apps box to find an integration by name or description, or use the All Categories dropdown to narrow the list to a single category (such as Payments, Accounting, or Automations).

Click any app card to open its detail page, where you can read the full description and connect it.
Read an app’s detail page
Most integration pages are laid out the same way, so you always know where to look. (A few apps, such as Zapier, use a slightly different page — see below.)- About this app describes what the integration does and the key benefits — both for your team and for your customers.
- The Get Started panel on the right is where you connect the app. It includes a short summary and a connect button.
- The quick facts under the panel tell you the app’s Developer, its Support availability, and its Pricing at a glance.
Connect Menaia Pay
Menaia Pay is the built-in way to accept online payments and manage transactions directly inside Menaia. When it’s available to your workspace, you’ll find it in the Payments category of the marketplace.1
Open the Menaia Pay page
From the marketplace, click the Menaia Pay card to open its detail page and review what it offers.

Start the connection
In the Get Started panel on the right, click Connect Stripe to begin. You’ll be guided through creating a Stripe account — or linking the one you already have — so Menaia can process payments on your behalf.

Finish setup
Complete the short setup — most workspaces are up and running in a few minutes. Once connected, payments, fees, and payouts stay in sync with your records automatically.
Connecting a payment app is a one-time action handled by an admin — individual users don’t need to set anything up themselves. Online payment collection is enabled per branch, so if a branch can’t collect payments after connecting, reach out to Menaia to have online payments enabled for it.
What Menaia Pay unlocks
Once connected, your team can accept payments anywhere, collect deposits online, add service fees, and let customers pay by card or bank transfer — including paying several invoices at once through a direct link. Payments flow straight into your invoicing, so there’s far less manual reconciliation to do.QuickBooks
QuickBooks is the marketplace’s accounting integration — you’ll find it under the Accounting category. Open its card to read what it offers and connect it from its Get Started panel, the same way as any other app.Set up how your data syncs
Once QuickBooks is connected, a confirmation appears inviting you to Set up sync preferences — or you can choose I’ll do this later and come back to it from the Finish setup banner on the QuickBooks page. Setting up opens a guided QuickBooks Setup wizard that walks you step by step through what should sync between Menaia and QuickBooks:- Branch Setup — whether your Menaia branches map to Classes in QuickBooks, so you can track income and expenses per branch.
- Client Sync — two switches:
- Sync customer updates from QuickBooks keeps a client’s contact details and billing address in Menaia up to date when they change in QuickBooks. Turning it off doesn’t stop clients from reaching QuickBooks: a client is still created there when one of their invoices or expenses syncs.
- Import existing customers brings your existing QuickBooks customers into Menaia as clients, once, when you finish setup. Customers without an email address or phone number are skipped.
- Item Sync — whether your items are created in QuickBooks the first time they’re used on an invoice. Only items created from scratch are updated back from QuickBooks; price book items stay managed in Menaia. With Item Sync off, every invoice line syncs under one fallback product/service in QuickBooks — an existing one from your QuickBooks catalog, or a new item called “Services” if you have none.
- Invoice Sync — whether invoices sync, and when: when they’re created, when they’re sent, or when they’re marked as paid. Voided invoices are voided in QuickBooks automatically. Details on how invoices and credit notes land in QuickBooks are in Invoices and credit notes in QuickBooks.
- Payment Sync — whether payments sync, and which QuickBooks bank account your Menaia Pay payouts are deposited to. Payments are matched to their invoices so balances stay accurate in both systems, and processing fees and bank deposits are recorded too. A payment is only sent when the amounts applied to its invoices add up exactly to the payment. If they don’t, nothing is sent — QuickBooks would otherwise book the difference as unapplied credit — and a Warning in the Sync log shows both amounts. Offline payments recorded in QuickBooks also come back into Menaia — see Payments recorded in QuickBooks.
- Expense Sync — whether expenses logged to a project sync, and which QuickBooks bank or credit card account they’re paid from.
If your QuickBooks plan doesn’t track classes
Mapping branches to classes needs class tracking turned on in QuickBooks. When it’s off for your QuickBooks company, Branch Setup shows this warning:Class tracking isn’t enabled for your QuickBooks plan. Turn on “Track classes” in QuickBooks under Settings > Account and settings > Advanced (available on QuickBooks Plus and Advanced) to map branches to classes.While the warning shows, the Use QuickBooks classes for branches switch is disabled, so you can’t turn class mapping on. If class mapping was already on, you can still turn it off. Until class tracking is back on in QuickBooks, records sync without class data, no classes are created, and a Class tracking warning appears in the Sync log.
Invoices and credit notes in QuickBooks
With Invoice Sync on, here’s what to expect when an invoice or credit note reaches QuickBooks:- Invoice lines match the Menaia subtotal. Line amounts are rounded to the cent so they add up to the invoice’s subtotal in Menaia. For example, an amount split evenly across three lines goes over as 33.34, 33.33, and 33.33. If the lines stored in Menaia are further off from the subtotal than rounding can fix, they’re sent as they are, and the Sync log shows a Warning with the difference.
- Totals are checked after the invoice syncs. If QuickBooks ends up with a different invoice total than Menaia billed, you get a Warning saying so. A payment for the Menaia total won’t close that invoice’s balance in QuickBooks, so check the invoice’s lines and tax there.
- Credit notes become credit memos numbered from the invoice. A credit memo’s number is the invoice number, then “-CN”, then the number the Sync log shows for that credit note. For example, Credit Note #57 on invoice SAC-1042 becomes credit memo SAC-1042-CN57 in QuickBooks. When one credit note covers several invoices, the number comes from one of them. A very long invoice number is shortened from the front to fit QuickBooks’ length limit.
- Credit memos are applied to their invoices. Once the credit memo and its invoices are in QuickBooks, the credit is applied to those invoices so their QuickBooks balances go down too. The sync log shows “Credit memo applied to its invoices in QuickBooks.”
- A credit that can’t be applied safely is left unapplied. The credit memo stays in QuickBooks as unapplied customer credit and the sync log shows a Warning explaining why. This happens when Payment Sync is off (applying a credit records a payment transaction in QuickBooks), when the credit note covers invoices for different clients, when the credit memo’s amount in QuickBooks no longer matches the credit note, or when an invoice’s open balance in QuickBooks is smaller than the credit applied to it. Fix the cause, then use Retry on the warning to apply the credit.
Payments recorded in QuickBooks
When Payment Sync and Invoice Sync are both on, payments also flow from QuickBooks into Menaia. If someone records an offline payment in QuickBooks — a check, cash, or a bank transfer — against an invoice that’s linked to a Menaia invoice, it comes into Menaia as a payment on that invoice and the invoice balance updates. There’s nothing to record twice.- Only offline payments come in. Card payments, payments QuickBooks collected online, and payments with no payment method set in QuickBooks are ignored.
- The payment method is matched by name. Menaia looks for a payment method on the invoice’s branch with the same name as the one used in QuickBooks. If there’s no match, the payment comes in without a method.
- Changes follow the payment. If the payment’s amount, invoices, method, or reference number changes in QuickBooks, the Menaia payment updates to match. If it’s voided or deleted in QuickBooks, it’s removed from Menaia and the invoice balances update.
- Some payments can’t come in. A payment applied to invoices on more than one Menaia project, or in more than one branch, isn’t imported, because a Menaia payment belongs to a single project. Neither is a payment whose invoice is still a Draft in Menaia.
- Part of a payment can be skipped. Any amount applied to an invoice Menaia doesn’t have, or to a draft or voided invoice, is left out. So is unapplied customer credit.
Refunds in QuickBooks
When Payment Sync is on, each refund you record in Menaia goes to QuickBooks as an Expense. Its payment type is Check or Credit Card when the refund method is one of those. Any other method, or no method, is sent as Cash. The expense is then linked to the invoice’s credit memo, so QuickBooks stops showing that credit as available. If that link can’t be made, the Sync log shows a Warning. See Refund a customer.Sync log
The Sync Log tab on the QuickBooks page lists every sync between Menaia and QuickBooks, newest first — both what went to QuickBooks and what came back. Until something syncs, it shows “No syncs yet.”
Use Show: at the bottom of the list to choose how many entries appear per page (10, 25, 50, or 100), and Previous and Next to move between pages.
Retry or ignore an entry
Each entry has a three-dots menu:-
Retry runs the sync again. It only appears on entries that can be re-run:
- errors sending an invoice (including a void), a credit note, or a payment to QuickBooks
- errors bringing a client’s or an item’s changes in from QuickBooks, or importing your existing customers
- warnings about a credit memo that reached QuickBooks but wasn’t applied
- Ignore hides an entry you’ve dealt with or don’t need. You’re asked “Ignore this sync log entry?” first. Ignoring removes it from the sync log for everyone in your organization.
The sync errors badge
Whenever there are outstanding sync errors, Admins see a QuickBooks Sync Errors badge in the top navigation bar. Select it to jump straight to the Sync Log tab. The badge counts errors only, not warnings. An error stays counted until you retry or ignore it — a later successful sync of the same record doesn’t clear it. The badge also goes away if you disconnect QuickBooks.Sync issue notifications
Admins are notified when QuickBooks syncs run into trouble, so problems don’t wait for someone to open the sync log:- QuickBooks Sync Error — a record failed to sync to or from QuickBooks.
- QuickBooks Sync Warning — a sync finished but skipped records or needs attention.
TaxJar
TaxJar is the marketplace’s sales tax integration — you’ll find it under the Taxes category. When it’s on, Menaia looks up the sales tax rate for a job from its property address — state, county, city, and special-district rates combined — and offers that rate in the tax selector, so you don’t have to look rates up or keep them current by hand. You still make the final call on which tax applies. There’s nothing to sign up for: no TaxJar account, no API key, and no sign-in window. TaxJar is free and runs on Menaia’s own account.Turn TaxJar on

Enable TaxJar
From the marketplace, open the TaxJar card and click Enable TaxJar in the Get Started panel. It turns on right away, and the panel shows a Connected badge.

Choose the branches that use it
Open Settings and choose Taxes. On the Tax Settings page, use the new TaxJar card to switch on each branch that should use TaxJar — see Choose which branches use TaxJar.
How TaxJar tax works
For a branch that uses TaxJar, the tax selector gains a TaxJar option at the top, above your Saved rates and Tax Groups. It shows the rate found for the property — for example “Renton, WA - 10.5%” — with Calculated from property address underneath. You’ll find this selector in three places:- The estimate calculator — the Tax row in the job breakdown. On a new estimate, TaxJar is selected for you.
- The proposal’s price summary — the Tax row, while the estimate is still In Progress.
- Invoices you create from scratch — the Tax row in the line items breakdown. On a new invoice, TaxJar is selected for you.
- The property address drives the rate. A ZIP code is the minimum TaxJar needs; the street, city, and state make the rate more precise. Addresses are looked up as US addresses.
- The rate is saved with the estimate or invoice. Like any tax choice, it’s applied to your taxable items only. It doesn’t change on its own when rates change, or when you turn TaxJar off.
- The rate is looked up again when you save an estimate with TaxJar selected, or refresh its pricing, so it reflects the current address and rates.
- Invoices created from an estimate carry the estimate’s tax — including a TaxJar rate — as a read-only line. The deposit invoice made when a proposal is signed does the same.
- Exemptions aren’t considered. TaxJar gives you the rate for the location. It doesn’t know whether a customer or job is tax-exempt, or where your business is registered to collect tax. For an exempt job, choose No Tax.
When TaxJar can’t find a rate
If TaxJar can’t return a rate — most often because the property has no ZIP code — the option shows just TaxJar, without a percentage. Menaia never blocks your work over it:- Saving a new estimate goes ahead with no tax.
- Saving changes to an estimate that already has tax keeps the tax it had. Refreshing its pricing does the same.
- Picking TaxJar on a proposal applies no tax.
- “A TaxJar rate could not be resolved for this invoice.” — you saved a draft invoice with TaxJar selected, but no rate was found for the project’s property. Check the address, or choose another rate.
- “TaxJar is not enabled for this branch.” — you picked TaxJar on a proposal whose branch no longer uses it. Switch the branch back on in Tax Settings, or choose another rate.
- “Failed to connect TaxJar” or “Failed to disconnect TaxJar” — the change didn’t go through. Try again.
Turn TaxJar off
Open the TaxJar page again and click Disconnect. It takes effect right away, with no confirmation step. The TaxJar card disappears from Tax Settings, and new estimates and from-scratch invoices go back to each branch’s default rate. Estimates and invoices that already use a TaxJar rate keep their saved tax. Your branch choices are kept, so turning TaxJar back on picks up where you left off.Acorn Finance
Acorn Finance is the marketplace’s financing integration — you’ll find it under the Financing category. It lets you offer customers no-obligation financing options on the proposals they’re already looking at, at no cost to you. Open its card to read what it offers, then connect it from the Get Started panel with Connect Acorn Finance. Unlike Menaia Pay or QuickBooks, there’s no separate account to set up and no sign-in window — connecting turns it on right away, and the panel shows a Connected badge. To turn it off later, open the page again and click Disconnect. You’ll be asked to confirm, because disconnecting removes the financing option from your client-facing proposals. You can reconnect at any time.Thumbtack
Thumbtack connects your Thumbtack Pro account to Menaia — you’ll find it under the Automations category. Once it’s connected, every new Thumbtack lead lands in your Communications inbox as it comes in, with the full conversation attached. Replies you send from Menaia go back through Thumbtack, so the customer sees them just as if you’d answered in the Thumbtack app. Thumbtack is free to connect.Connect your Thumbtack Pro account
You’ll need to sign in with the Thumbtack Pro account that manages your business.1
Start the connection
From the marketplace, open the Thumbtack card and click Connect Thumbtack in the Get Started panel. Menaia takes you to Thumbtack in the same browser tab.

Sign in and approve
Sign in with your Thumbtack Pro account and approve the connection. Try to finish within 15 minutes — after that the connect link expires and you’ll need to start again.

Confirm you're connected
Thumbtack sends you back to the Thumbtack page in Menaia. The button reads Finishing connection… for a moment, then you’ll see a Thumbtack connected message and a Connected badge.
- All your businesses are added. If your Pro account runs more than one business, each is listed in the Businesses card with its own switch. Turn a business off to stop receiving its leads. If you add a business on Thumbtack later, click Refresh businesses to start syncing it.
- Your Menaia phone numbers are registered with Thumbtack for the first business on your account. Numbers you add to Menaia later are registered too. To also receive Thumbtack customers’ phone calls in Menaia, set your business phone number in your Thumbtack profile settings to your Menaia number. Messages work either way.
- A ThumbTack lead source is set up, so leads you convert from Thumbtack conversations are credited to it. If you already have a lead source named “ThumbTack”, Menaia uses that one instead of creating a duplicate.
Leads start arriving from the moment you connect. Leads you received before connecting aren’t imported, but if a customer messages you on one of them, that lead’s conversation and details appear in the inbox.
Thumbtack leads in Communications
Each Thumbtack lead becomes its own conversation in the Communications inbox:- The first message is a lead card. It’s titled “New Thumbtack lead” with the job category, then the customer’s phone number, location, answers to Thumbtack’s questions, and any photos they attached.
- The header shows where it came from. Under the customer’s name you’ll see “via Thumbtack” and the name of the business the lead is for. When Thumbtack shares the customer’s phone number, the header also has a call button.
- Replies go back through Thumbtack. Type your reply as you would for a text message. Replies are text only — attachments aren’t supported on Thumbtack conversations. Replies you type in the Thumbtack app also show up in the conversation.
- A reply Thumbtack won’t accept is marked Failed — for example, when the lead was closed on Thumbtack, or the connection stopped working as the reply was being sent.
- Canceled requests are flagged. Menaia checks about once an hour for leads the customer canceled on Thumbtack. When it finds one, the conversation gets a Canceled badge and a note such as “Jane Doe canceled this request on Thumbtack.” You can’t message it anymore: the reply box says “This lead was canceled on Thumbtack — you can no longer message it.”
Disconnect Thumbtack
Open the Thumbtack page and click Disconnect. It takes effect right away, with no confirmation step. Menaia stops receiving leads and messages from all of your businesses, and replies are no longer sent through Thumbtack. Your existing Thumbtack conversations, and any leads you converted from them, stay in Menaia. To connect again, click Connect Thumbtack and sign in. Your businesses are listed again, all switched on.If something goes wrong
- Reconnect needed — the connection to your Thumbtack account stopped working, for example because access was withdrawn on Thumbtack’s side. The page shows “Thumbtack connection expired — reconnect to keep receiving leads and sending replies.” Until you reconnect, new leads don’t arrive and replies aren’t delivered to Thumbtack. Click Reconnect Thumbtack and sign in again.
- “Connected, but part of the setup needs attention” — a step such as registering a business or your phone numbers didn’t finish. Reconnecting usually fixes this. A business that couldn’t be registered shows switched off in the Businesses card.
- “The Thumbtack account you signed in with has no business profile…” — the account you signed in with doesn’t manage a Thumbtack business. Sign in with the Thumbtack Pro account that manages your business, then connect again.
- “OAuth state expired — retry the connect” or “Unknown or expired OAuth state” — the connect link was too old or had already been used. Click Connect Thumbtack again.
- “This connect link belongs to a different workspace” — you started connecting in one workspace and finished in another. Switch to the workspace you want to connect, then start again.
- “Thumbtack did not complete the authorization. Try again.” — you canceled on Thumbtack, or Thumbtack didn’t approve the connection.
- “Could not start Thumbtack connect”, “Could not refresh businesses”, “Could not update business”, or “Failed to disconnect Thumbtack” — the action didn’t go through. Try again.
Zapier
Zapier is the marketplace’s automation integration — you’ll find it under the Automations category. It links Menaia to over 10,000 apps so you can automate the busywork around your leads and clients: capture new leads automatically, keep client records in sync across your other tools, and cut out manual copy-and-paste. Set up an automation (a “Zap”) once and it keeps running on its own. Connecting Zapier only needs a free Zapier account — there’s no plan upgrade on the Menaia side.The Zapier page works a little differently from the other apps. Instead of a Get Started panel, you manage your Menaia Zaps under Your Menaia Zaps and browse ready-made automations under Connect Menaia to 10,000+ apps, right on the page. Set Zapier up on a computer — on a small screen you’ll be prompted to open Menaia on your computer to finish connecting.
Connect your Menaia account
The first time a Zap uses Menaia, Zapier asks you to sign in to Menaia and approve the connection. If you’re not already signed in, Menaia asks you to sign in first, then shows its authorization screen.1
Review what Zapier can do
The screen lists the permissions Zapier is asking for, each with a checkbox, all ticked. Only permissions your own role already has are listed. Leave the lead, client, and message permissions ticked for the Menaia steps you plan to use — if you untick one, Zaps can’t do that. The screen also shows the email address you’re connecting as.

Pick the organization
If you belong to more than one organization, choose one under Organization (“Select an organization”). Your Zaps work in that organization only.

Approve
Click Approve to finish and return to Zapier, or Deny to cancel. In Zapier, the connection is named after your organization and your email address.
- “This authorization link is invalid” — the link was incomplete.
- “This authorization request has expired” — the request is no longer valid.
- “Authorization is temporarily unavailable” — something went wrong on Menaia’s side. Try again later, or contact support if it keeps happening.
What Zaps can do with Menaia
Triggers start a Zap when something happens in Menaia:
Actions do something in Menaia:
- Create Lead — creates a lead. Choose its Branch and enter the primary contact’s First Name and Last Name (all required), plus an Email or Phone (at least one). Notes, Address, City, State, and Postal Code are optional.
- Create Client — creates a client from a First Name, Last Name, and an Email or Phone (at least one). If a client already has that email or phone, Menaia returns that client instead of creating a duplicate.
- Create Inbox Message — adds a message from another platform to your Communications inbox, starting a conversation if there isn’t one yet. Enter the Source Platform (Yelp, Google Business Profile, Google Local Services Ads, Thumbtack, Angi, Facebook, or Other — the field’s help text lists the exact value to use), the External Thread ID, and the Message Body. Messages with the same thread ID land in the same conversation. Optionally add an External Message ID (recommended — it stops the same message from being added twice), a Sender Name, a Customer Name (shown as the conversation’s name), and Sent At (defaults to now).
- Find Lead — finds a lead by the contact’s name, email, or phone.
- Find Client — finds a client by the contact’s email or phone (at least one).
Data Sources
Data Sources connects the tools your business already runs on — QuickBooks, Stripe, Salesforce, Google Sheets and hundreds more — so Meni can answer questions that span all of your business data. You’ll find it under the Data category. Unlike a single-app integration, its detail page is a hub with two parts: Connected sources, which lists everything you’ve already linked, and Add a source, a searchable catalog of connectors you can add to.1
Open Data Sources
From the marketplace, open the Data Sources card. If you haven’t linked anything yet, click Browse connectors to jump to the catalog.

Pick a connector
Search the Add a source catalog, then click Connect on the source you want. Menaia takes you to a secure page where you authorize the connection, then brings you back to Data Sources. Menaia never stores your source’s credentials.

Wait for the first sync
After you authorize, the source appears under Connected sources and starts syncing in the background. It shows a Syncing badge during its first sync, then Connected along with when it was last synced.
- Connected — live and syncing. Syncing means its first sync is still running.
- Incomplete — authorization didn’t finish; use Finish setup to complete it.
- Needs attention — the connection broke; use Reconnect to fix it.
- Use the refresh icon to re-check a source’s status, or remove a source with the trash icon. Removing it stops syncing and Meni can no longer answer questions from it — you can reconnect it later.
